Privacy Policy
Last updated 22 August 2026
This policy explains what Artemis AI LLC ("Artemis", "we", "us") collects when you use the Artemis AI platform, why we collect it, who else touches it, and what you can ask us to do with it. We have tried to write it in plain language rather than defensively.
Contents
1. Who we are
Artemis AI LLC operates the Artemis AI platform at
useartemisai.com and app.useartemisai.com. For any privacy
question, or to exercise any of the rights described below, contact
aiartemis@yahoo.com.
Artemis is a business-to-business service. Where a business subscribes to Artemis and invites its team, that business controls the workspace and its contents; we process that data on the business's instructions. If you are an employee of such a business and want your personal data removed, contact your business owner first — they control the workspace.
2. What we collect
Information you or your business gives us
- Account details — your name, email address, role, and the business you belong to. Accounts are created by invitation; we receive these details from whoever invited you.
- Your password — stored only as a one-way cryptographic hash. We cannot read it and cannot recover it for you.
- Business profile — the descriptive information about your business you enter during onboarding, such as industry, size and objectives.
- Documents you upload — the files you choose to add to your workspace, and the text extracted from them. You decide what to upload; please do not upload anything you are not authorised to share.
- Conversations — the questions you ask the assistant and the answers it returns, kept so you can return to a chat later.
- Consultant notes and meeting records — where your business works with a consultant through Artemis.
Information we generate automatically
- Usage and cost records — for each AI request, which model was used, how many tokens it consumed, and what it cost. This is how we show you your usage and enforce budgets.
- Operational logs — standard server and infrastructure logs recording requests, errors and performance, used to keep the service running and secure.
We do not collect payment card details through the platform, and we do not buy personal data from third parties.
3. Why we use it
| Purpose | What it involves |
|---|---|
| Providing the service | Authenticating you, storing your documents, retrieving relevant passages, and generating answers. |
| Access control | Applying the permissions attached to your role so you see only what you should. |
| Usage and cost reporting | Showing your business what it is spending and enforcing per-person budgets. |
| Security and abuse prevention | Detecting unauthorised access, rate-limiting sign-in attempts, and investigating incidents. |
| Support | Responding when you contact us with a problem. |
| Service improvement | Understanding aggregate patterns — such as which features are used — to decide what to build next. |
| Legal compliance | Meeting obligations that apply to us, and enforcing our Terms. |
Where data protection law requires a legal basis, we rely on performance of our contract with you or your business, our legitimate interests in operating and securing the service, and, where applicable, your consent.
4. How your data is used by AI
This is the part that matters most, so we will be specific.
- When you upload a document, its text is sent to our AI provider to be converted into a numerical representation of its meaning, which we store so the document can later be searched by meaning rather than by keyword.
- When you ask a question, we send the AI provider your question, the passages from your own documents that appear relevant, your business profile, and any applicable industry guidance — so the answer is grounded in your material.
- At the deeper research levels, the AI provider may also search the public web to inform its answer. Your documents are not published as part of that search.
- Your content is not used to train publicly available AI models. Our agreement with our AI provider prohibits it.
- Your content is never used to answer another customer's questions. Retrieval is filtered to your business at the point of query.
5. Who else processes your data
We do not sell your personal data and we do not share it for advertising. We rely on a small number of service providers who process data on our behalf under contract:
| Provider | What they do | What they receive |
|---|---|---|
| Amazon Web Services | Hosting, database, file storage, backups | All platform data, stored encrypted in the United States |
| OpenAI | AI models for answering questions and indexing documents | Question text, relevant document passages, business profile |
| Resend | Sending transactional email such as invitations and password resets | Recipient name and email address |
| Google Fonts | Serving the typeface used on our public website | Your IP address and browser user-agent, when your browser requests the font files. No account or document data. |
We may also disclose data where we are legally required to, or where necessary to protect our rights, safety, or the integrity of the service. If Artemis is ever involved in a merger or acquisition, data may transfer as part of that transaction; we will give notice before your data becomes subject to a different policy.
6. Cookies and tracking
Artemis runs no advertising trackers, no analytics scripts, and no third-party tracking cookies. We do not build advertising profiles and we have nothing to ask your consent for, which is why you will not see a cookie banner.
The application does store a small amount of data in your browser's local storage: your sign-in token, so you stay signed in, and interface preferences such as which workspace you last had open. Clearing your browser storage signs you out and resets those preferences.
7. How long we keep it
- Account data — kept while your account is active.
- Documents — kept until removed. When you delete a document it is immediately withdrawn from the assistant's memory, stops appearing in answers, and is no longer reachable from your account. The underlying encrypted file remains in our storage after that point; we do not currently operate a scheduled purge of deleted files, and we will update this notice with the schedule when we do.
- Conversations — kept so you can return to them. A deleted conversation is removed from your account and stops appearing anywhere in the product; its stored copy remains in our database.
- Usage and cost records — retained for billing accuracy and financial record-keeping.
- Backups — the database is backed up continuously; deleted data may persist in backups for a limited retention window before ageing out.
8. How we protect it
- Encryption in transit — every connection uses TLS, including between our own services and the database.
- Encryption at rest — uploaded documents are encrypted using a dedicated managed key that we control and rotate. Database storage and backups are encrypted.
- Tenant separation — data access is filtered by business at the query level, not merely hidden in the interface.
- Access control — passwords are hashed, sessions expire, and sign-in attempts are rate-limited.
- Network isolation — the database is not reachable from the public internet.
- Tested recovery — we take continuous backups and have verified restoration end to end rather than assuming it works.
No system is perfectly secure. If we become aware of a breach affecting your personal data, we will notify you and any required regulator as the law requires.
9. Your rights and choices
Depending on where you live, you may have the right to:
- access the personal data we hold about you;
- correct it if it is wrong;
- delete it, subject to our legal and contractual obligations;
- receive a copy in a portable format;
- object to or restrict certain processing;
- withdraw consent where we relied on it; and
- complain to your data protection authority.
To exercise any of these, email aiartemis@yahoo.com. We will respond within the period required by applicable law. We do not discriminate against anyone for exercising these rights.
If your account belongs to a business workspace, some requests are for that business to decide — we will direct you to them and help them respond.
10. Where your data is stored
Artemis is hosted in Amazon Web Services' US East (Northern Virginia) region. If you access Artemis from outside the United States, your data is transferred to and processed in the United States, which may have different data protection laws than your own country. Where required, we use appropriate safeguards such as Standard Contractual Clauses for those transfers.
11. Children
Artemis is a business tool and is not directed to anyone under 18. We do not knowingly collect personal data from children. If you believe a child has provided us data, contact us and we will delete it.
12. Changes to this policy
We may update this policy as the platform changes. We will revise the "last updated" date above, and for material changes we will notify you by email or in the application before the change takes effect.
